LCIHA General Membership Meeting Minutes

 

Time/Place:  4/7/03, 7:00 P.M., Jett Hall Rm. 283, NMSSU

 

Present: Chris Christeson, Pat Coughlin, Peter Kane, John Mercer, Robert “Peanut” Mercer, Ray Meyer, Barry Pierson, David Rockstraw, Hugo Vilchis, Hugo Vilchis Jr., Patty Walters, Derrik Wootton,

 

Minutes:

v    Derrik informed everyone that USAHI now has a program that will enable us to register online, or by submitting a disk rather than paper forms. We will be exploring this option more fully before fall registration.

v    Derrik also passed around a poster showing all USAHI Tournaments currently scheduled nationwide. This poster will be posted at the rink on the bulletin board.

v    Dave Rockstraw went over plans for the fundraiser:

o       Plan is to have a 100-hour hockey game, played from noon on Wednesday, May 28th to 4 p.m. on Sunday, June 1st. These were the best days available of those offered by Jimmy Rivera – will not conflict with the Summer Youth session at Meerscheidt, and hopefully most everyone will still be in town since it is just after school lets out.

o       USAHI registration will be held during the fundraiser, as everyone will need to re-register by May 31 for the coming year.

o       Hugo Vilchis has looked into obtaining funding through a Federal organization that provides monies for educational sports events (particularly youth). Hugo’s students will be studying UV exposure and manning a sunscreen booth at the event.

o       Registration form for the event is available online at the LCIHA  website. There is also a Sponsorship form online. The Sponsorships will work similar to a Walk-A-Thon. Participants will obtain pledges, either an amount per time played or a flat donation. Prizes will be awarded to top money earners.

o       Corporate sponsors are also being sought, and the media has been contacted; also trying to contact the Guinness Book of World Records.

o       Derrik is checking on a burn permit for a bonfire at night.

o       Coke to provide a concessions trailer, profits on sales of items to LCIHA.

o       We will try to obtain port-a-potties through the City.

o       Extreme care will need to be taken that the event is strictly and properly supervised throughout by the Board and Officers. Any improper behavior would jeopardize our credibility with the City and our membership.

o       Funds raised will go toward the purchase of lights for our facility. Dave has been talking with El Paso Electric, and they may be willing to donate some supplies and labor to this project, making it much more affordable.

v    Refereeing Issues:

o       There have been lots of no-shows, refs out of uniform, and refs not following plays—particularly among the younger refs.

o       We need to conduct more ref clinics, and not schedule refs who are not taking their jobs seriously. This will be the responsibility of the Head of Refs.

o       John Mercer will pick up some more whistles and ref jerseys so that there is no excuse for being out of uniform.

v    Board & Officer Nominations:

o       Tom King has been nominated for President.

o       Derrik Wootton has been nominated for League Commissioner.

o       Cindy Clark would prefer to be nominated to the Board of Directors rather than League Secretary.

o       League Treasurer and Secretary positions still open to nominations.

v    Photo Sessions on May 10th:

o       Photos will be taken first tournament Saturday. Derrik needs a rough idea of who will purchase $10 packets (coaches to get him this info). Checks to be made out to LCIHA. The LCIHA will make $2 for each $10 packet purchased. Other “specialty” items will be available for purchase directly from the photographer (trading cards, etc.)

o       Team members should be available for pictures whether they intend to buy any or not.

o        Schedule will be posted online and e-mailed to everyone when it is set. Pictures will be taken roughly every 15 minutes.

v    Miscellaneous:

o       The wind is tearing the pads up. We need to look at ways to secure and safeguard over the summer months.

o       The equipment manager needs to assess our needs and submit a list of needed equipment and/or repairs at the next meeting.

o       The pad will need to be cleared by Thursday night (April 24th) before Gus Macker.
